Sales Operations Administrator-Rental Services

We are seeking a detail oriented and customer focused Sales Operations Administrator based on premises at our rental services corporate office in Richland. We offer competitive hourly compensation and a comprehensive benefits package.

The Sales Operations Administrator, Rental Services is accountable to provide senior level administrative, planning and coordination support to the rental services corporate office in the areas of sales administration, machine and work tool inventory forecasting and purchasing, report generation, commission calculation/reporting, and other department-related support activities and tasks. Position reports to the VP, Rental Services.

Essential Duties, Functions, and Responsibilities:

  • Provide advanced level administrative support and coordination to the rental services corporate office. Therein, prepare process documentation, generate data extracts, gather source data and perform research needed to produce a variety of periodic and ad hoc (sales, financial, production) reports, KPI and dashboard analytics, presentations, communication, and support the execution of a wide variety of special projects.
  • Administer the lifecycle of machine and work tool inventory/reconciliation, forecasting, and purchasing processes, and maintain regular contact with internal customers throughout in accordance with all prescribed company policies, procedures, and metrics.
  • Monitor, balance, and reconcile the flow of incoming merchandising/marketing funds applied to sales deals and provide up to date reports on a routinely scheduled basis.
  • Assist the accounting department in the preparation, analysis, and reconciliation of department-related sales accruals. Monitor the monthly Cost of Sales report and compare with quote workup to identify major discrepancies.
  • Track, calculate, and reconcile all sales-based commissions and provide up to date reports on a routinely scheduled basis.
  • Assist in the planning and coordination of division-related customer functions and events. Coordinate travel planning and related logistics for members of the department. Prepare related meeting materials (agendas, presentation slides, handouts, etc.).

Job Requirements:

Required Skills, Knowledge, and Experience:

  • High school diploma plus minimum 4-6 years of combined work experience as an accounting specialist in a sales environment supporting multiple branch locations and a high volume of transactional activities.
  • Excellent verbal, written, and interpersonal communication skills.
  • Excellent problem-solving skills, detail oriented, and ability to work with a high level of accuracy.
  • Proficiency with MS Office applications (Outlook, Word, Excel) and management information system applications (ex: Rental Man).
  • Solid understanding of the heavy equipment industry and related sales and credit processes and terminology.
  • Ability to work independently in a fast-paced, dynamic, and deadline sensitive environment.
  • Ability to work standard five-day work schedule, including daily overtime, and occasional weekend hours as necessary.
  • Ability to multi-task and prioritize workload in a fast-paced and deadline oriented environment.
